Cold Spring Harbor Laboratory, a world-renowned non-profit scientific research facility on Long Island's North Shore, is searching for a professional individual to fill the role of Senior Scientific Administrator. This position requires the candidate to exercise discretion and independent judgment in investigating and resolving issues on behalf of the Professors.
The Scientific Administrator will need to be a dynamic individual with impeccable organization and time management skills who will work diligently to support the scientific researchers. The Administrator will manage the Researcher's busy schedule, with significant calendar management, in-person and remote meetings (video and teleconferences) extensive interaction with external partners and their respective assistants. Also, organizing high-level meetings. In addition, the administrator will assist in the preparation and submission of grant applications and progress reports, adding new materials to these applications as requested, along with reviewing the documents before submitting in a timely manner. Other responsibilities will include reconciling corporate AMEX statements monthly, preparing regulatory compliance forms, preparing original correspondence, maintaining publication databases, and assisting with oversight of expenses and budgets. Also maintaining files, answering phones, handling mail and ordering supplies. They will regularly maintain updates of Bio-sketches, CV and grant information for their Professors and support the needs of their laboratory members.
Essential Duties Summary:
Education: Bachelor's degree.
Experience: Experience in supporting a busy work environment, including the management of sizable programs, including large cooperative grants. A minimum of 4 to 5 years of related administrative experience required as well as exceptional organizational, time management, communication and PC skills, including MS Word, Excel and PowerPoint and Outlook (Familiarity with MAC OS X, Canvas, FileMaker Pro, & Endnote is helpful). Experience with submission of federal grants for scientific research and familiarity with scientific/ technical terminology is helpful.
