The Department of Neurology is seeking a Sr. Administrative Coordinator, HR Operations Support to assist with HR related activities for the BIOS Clinical Trials Coordinating Center (CTCC). The BIOS CTCC manages multi-center, $30+ million federally funded clinical trials and multiple site-specific pharmaceutical-sponsored trials. This role will work with internal resources to assist with recruiting and staff related functions within BIOS CTCC. The Coordinator will support functions that contribute to the growth and efficiency of BIOS CTCC.
Specific Duties and Responsibilities
HR Operational Support
Assist in day-to-day implementation of the recruitment and hiring process, from initiation to onboarding.
Assist in coordinating the full talent life cycle, including but not limited to finalizing job descriptions, submitting requisitions, resume screening, interviewing, and collaborating with NeuroHR on final steps of the hiring workflow.
Partner with BIOS CTCC hiring managers to understand their staffing needs, assist in drafting job descriptions, and work with NeuroHR and Talent Acquisition to develop and implement recruitment strategies.
Partner with JHU central recruiters and hiring managers on recruitment strategies and implement best practices to facilitate each step of the process.
Review qualified applicant resumes and prescreen and assess applicants to advance in the hiring process.
Coordinate interview scheduling for the team, and ensure any required preparation and tools for the team.
Monitor the status of recruitment activity using JHU?s applicant tracking system
Oversee and optimize the candidate experience throughout the interviewing and onboarding processes.
Track and report on key recruitment metric and outcomes, e.g. time-to-fill, source of hire, and applicant feedback, etc.
Provide regular updates to hiring managers and BIOS CTCC leadership on the status of open positions and recruitment activities.
Ensure compliance of all activity with JHU policies and procedures
Stay up-to-date on JHU policies, industry trends and best practices.
Collaborate with various HR offices across JHU, including NeuroHR, HR Shared Services, Central HR, and Office of International Services to understand policies and procedures and troubleshoot issues.
Manage the onboarding process for newly hired staff; conduct orientation sessions, prepare onboarding materials, coordinate training, and monitor training progression.
In consultation with NeuroHR develop and coordinate a BIOS CTCC intern and volunteer program that aligns with JHU policies and utilizes JHU programs and pathways.
Maintain staff files; personnel, training, and development records
Monitor and assist with coordination of leave
Support processes across the full talent life cycle, e.g., performance management, employee relations, change management, learning and development, and recruitment.
Collaborate with the BIOS CTCC team on projects to attract, recruit, engage, and retain a diverse workforce.
Training & Development Support
Collaborate with BIOS CTCC leaders and NeuroHR to develop and promote integrated training pathways and solutions that balance business goals and team members? development.
Work with BIOS CTCC team members to identify JHU resources to help develop skills and competencies that advance organizational and professional growth.
Ensure employees acquire and maintain compliance with JHU and regulatory training and education requirements.
Ensure adherence to the steps of the of performance management process.
Identify and recommend training and development needs through surveys, interviews, and communication with managers
Ensure completion of MyLearning requirements for division.
Assess and maintain awareness of division?s staffing needs, in relation to strategic objectives
Identify internal and external training opportunities.
Develop and conduct presentations to build knowledge of the staff.
Performs other duties and special projects as assigned.
Additional Knowledge, Skills and Abilities
Proficiency with Microsoft Office tools including Excel, Word, Teams, SharePoint.
Knowledge of recruiting procedures and employment practices.
Minimum Qualifications
High School diploma or graduation equivalent.
Five years progressively responsible administrative experience.
Additional education may substitute for required experience, to the extent permitted by the JHU equivalency formula.
Preferred Qualifications
Bachelor's Degree.
Recruiting and staff development experience.
Familiarity with JHU Human Resources policies and practices.
Familiarity with SuccessFactors system.
