Cold Spring Harbor Laboratory (CSHL), a world-renowned non-profit biomedical research institution on Long Island’s North Shore, is searching for a professional individual to fill the role of Scientific Administrator. This position provides administrative support to multiple faculty members with limited guidance, requiring a high degree of organizational skills, judgement, discretion and professional integrity.
Position Responsibilities
The Scientific Administrator will need to be a dynamic individual with impeccable organization and time management skills who will work effectively to support multiple faculty and their research groups. The Administrator will be asked to support each faculty with a range of tasks, including: calendar management and scheduling involving both in-person and remote meetings, coordinating seminar series or other scientific meetings, organizing speakers and travel reimbursements, reconciling corporate AMEX statements monthly, preparing regulatory compliance forms, facilitating recruitment of lab staff, maintaining publication databases, assisting with oversight of expenses and budgets, maintaining files, organizing travel, and ordering office supplies. They will also maintain updates of Bio-sketches, CV and grant information for their faculty members and support the needs of their laboratory members. In addition, they will provide administrative support to core facilities that are overseen by the faculty.
The Scientific Administrator will also assist in the preparation and submission of grant applications and progress reports. This includes keeping track of due dates for applications and progress reports and coordinating with the CSHL Office of Sponsored Programs and other departments to collect the required documents and submit them to the appropriate online portals. The Administrator will help the faculty members maintain updated copies of supporting documentation required for such applications, including updated copies of the NIH Biosketch and Other Support Documents.
Position Requirements
EDUCATION: Associate degree required, Bachelor’s degree preferred EXPERIENCE/SKILLS: Minimum of 5 years’ experience in a comparable administrative role; familiarity with an academic or public sector environment preferred. Extensive knowledge and experience using Microsoft Office Suite, including Excel, PowerPoint, Word and Outlook. Strong organizational, time management, prioritization and problem-solving skills as well as the ability to multi- task and work effectively under pressure. Excellent interpersonal, oral and written communication skills. The ability to exercise independent judgment and discretion in dealing with highly sensitive and confidential information is required. Ability to work independently with minimal guidance.

The salary range or hourly rate listed is a good faith determination of potential base compensation that may be offered to a successful applicant for this position at the time of this job advertisement and may be modified in the future.
