This position will report to the ICG Chief Compliance Officer, APAC. The individual will be responsible for the execution of administrative matters for ICG Independent Compliance Risk Management in APAC.
The Senior Executive Assistant provides support to another individual or group of individuals by handling correspondence, managing calendars and appointments, arranging conferences and conference calls, making travel arrangements and providing other administrative tasks.
Provide administrative support for ICG ICRM in APAC to include:
Travel and Expenses at Managing Director level as well as admin support for the HK ICG ICRM team;
Site admission for global/regional/local visitors;
ICG ICRM staff onboard/off boarding;
ICG ICRM COB call tree list maintenance;
Facilitate the onboarding process and infrastructure training for new hires and provide Citi administrative instructions;
Coordinate planning, logistics and preparation of relevant materials for Townhall meetings, conferences, and other communication forums including materials and PowerPoint presentations;
Support and coordinate location planning and strategy for ICRM Management team members, as well as all communication efforts;
logistic management of regulatory exams and regulator visits, assist in the consolidation of regulatory exam deliverables;
Facilities/general office management of the Hong Kong site including Stationery Orders, Distribution List Management, online meeting room booking system and IT issues.;
Maintaining Organizational Charts and monitoring activities in excel spreadsheets;
Calendar Maintenance and management at Managing Director level;
General Admin and Ad Hoc duties assigned by the senior manager.
Appropriately assess risk when business decisions are made, demonstrating particular consideration for the firm's reputation and safeguarding Citigroup, its clients and assets, by driving compliance with applicable laws, rules and regulations, adhering to Policy, applying sound ethical judgment regarding personal behavior, conduct and business practices, and escalating, managing and reporting control issues with transparency.
Previous office administration experience preferably within a large and complex financial services or similar organization
Highly proficient in Microsoft Office
Consistently demonstrates clear and concise written and verbal communication skills
Demonstrated ability to quickly gain command of new systems
Self-motivated and detail oriented
Bachelor's/University degree or equivalent experience
