Management of operations for health information management services (medical records) at NU Health Service (NUHS).
PLEASE NOTE: This position is considered as “essential staff” and may be required to work extra hours including evenings or weekends in the event of a campus emergency or other special operational needs of the Health Service.
Roles and Responsibilities
Coordinates, organizes and supervises the activities and operations related to the preparation and maintenance of all health information records consistent with applicable laws, regulations, and accreditation standards (Accreditation Association for Ambulatory Health Care).
Responsible for ensuring all full and half-time students comply with State of Illinois immunization law and University-mandated health requirements. Coordinates processing of data from the student immunization form and other health information documentation. Uses control mechanisms such as placing holds on student class registration and assessing late fees to achieve compliance with health enrollment requirements consistent with established deadlines.
Supervises the Health Information Technician, Senior Clinical Applications Support Specialist and temporary staff. Responsible for hiring, training, evaluating and coordinating staffing to ensure adequate coverage of all health information operations. Plans, schedules, distributes, and prioritizes work assignments to maximize staff utilization and meeting of deadlines.
Coordinates all processes associated with the release of health information consistent with established policy and regulations.
Participates in and organizes compilation of data and utilization metrics for various reports, benchmarking studies, medical care evaluations and quality assurance activities. Participates as a member of the Quality Management Committee and coordinates peer chart review and assessments of scanning accuracy of documents for the electronic health record.
Provides in-service education and serves as a staff resource for issues on health information, medical records, regulatory compliance (e.g. HIPAA, FERPA) and other related laws concerning health information to Health Service staff. Collaborates with various NUHS staff concerning use of the practice management and electronic health record (Point & Click Solutions) system by medical staff concerning coding of patient visits and entering of health information into a patient’s record.
Ensures compliance of NUHS staff with all applicable regulations on health information including issues of patient confidentiality and privacy. Participates in professional development activities to stay current on regulatory compliance and accreditation standards. Develops and proposes health information policies and procedures to mitigate risk and avoid litigation.
Develops and proposes written content for web pages for Health Information Management Services which includes resources on services, immunization compliance requirements and forms.
Participates in efforts to implement improvements in processes and workflow to maximize utilization of the electronic health record.
Coordinates and participates directly in customer service activities related to the operation of Health Information Management Services. Ensures timely response to inquiries via email, telephone, fax, and face-to-face interaction with patients, students, parents, NUHS staff, and staff from other health care organizations. Participates in activities such as student orientation sessions and resource fairs to present and explain services, policies and processes related to health information for NUHS.
Performs other duties as assigned including significant roles in Health Service committees (i.e. Quality Management Committee and Safety Committee.
Bachelors Degree in health information management or a related field
Current certification as a RHIT or RHIA.
At least 3 years of experience in medical records using an Electronic Health Record (e.g. such as Epic or comparable system)
Excellent verbal and written communication skills.
Computer literacy sufficient to competently use Microsoft Office applications and experience with health information technology.
Comprehensive knowledge of medical terminology.
Undergraduate degree in health information management or related field and current RHIA certification.
Related health information management experience of 5 years preferred in ambulatory health care or college health. Other certifications considered include: CCA, CCS, CHP, CHPS, CHS, RHIA
Significant experience and achievements in administering an electronic health record system (e.g. such as Epic or comparable system)
Experience managing and developing staff
Computer literacy related to health information systems and the standard applications of Microsoft Office.
Excellent verbal and written communication skills.
Extensive knowledge and experience with regulatory compliance related to health information.
