Due to retirements, the Mojave Water Agency is seeking an Executive Assistant position for one vacancy.
The Executive Assistant is an exempt position with an annual salary range of $73,567 - $102,994 annually; paid bi-weekly
The ideal candidate will perform a variety of complex and confidential technical, administrative, and secretarial support duties in support of the General Manager and the Board of Directors; acts as the first point of contact for the General Manager; coordinates and participates in assigned programs, projects, and services with other Agency departments and outside agencies; directs and reviews the work of assigned office support staff; and performs related duties as required.
Some examples of essential job functions are:
Provides administrative and secretarial support to the General Manager, Board of Directors and senior management, including reviewing and prioritizing business correspondence; Receives and screens visitors and telephone calls, providing information and handling issues that may require sensitivity and use of discretion and sound independent judgment; responds to requests for information and complaints, refers matters to appropriate Agency staff and/or takes or recommends action to resolve requests or complaints; Continuously maintains, adjusts, and monitors the General Manager's calendar; coordinates, arranges, and confirms meetings; screens request for appointments; coordinates, schedules, makes site and meal arrangements for special meetings and events; makes and confirms travel arrangements for the General Manager; Composes correspondence requiring knowledge of the Agency’s views, philosophy, and some understanding of technical matters; develops and prepares reports, manuals, presentations and other materials; Reviews, determines priority, and routes incoming correspondence, reports, requests, and instructions; handles or refers matters as directed; acts as a liaison in coordinating matters between the General Manager and other department heads and managers; maintains logs of documents processed and assignments given; follows-up on assignments to ensure timely completion; Responds independently to California Public Records Act requests for information as well as maintains public records in compliance with the California Public Records Act; Monitors Agency compliance to the Ralph M. Brown Act (Government Code Section 59450-54963) in posting of public meeting notices; Researches and compiles background data and prepares staff reports and agenda packets for Board of Directors meetings and Watermaster and Committee meetings, as needed; Oversees distribution and receipt of annual statements of economic disclosure (Form 700) for Board members, Agency staff, and Agency consultants; Maintains the official documents of the Agency including, but not limited to, ordinances and resolutions, minutes of meetings, and agenda packets; Performs related duties and responsibilities, as assigned.
Some examples of knowledge and abilities are:
Basic organization and function of public agencies, including the role of an elected Board of Directors and appointed boards and commissions; Basic functions of public agencies and water districts, including the role and responsibilities of a public governing board; Applicable federal, state, and local laws, regulatory codes, ordinances, and procedures relevant to assigned area of responsibility; Practices used in agenda packet preparation and the taking of meeting minutes; Provide varied, responsible, and often confidential, secretarial and office administrative assistance to the GM, Board of Directors, and associated managerial and professional staff; Perform difficult and complex administrative work involving the use of considerable independent judgment; Maintain confidentiality and be discreet in handling and processing confidential information and data; Organize work, set priorities, meet critical deadlines, and follow-up on assignments with minimal direction; Effectively present information and respond to questions from MWA’s employees including the general public, other water agencies, MWA’s Board of Directors, and regulatory agencies; Establish and maintain cooperative working relationships with those contacted in the course of business including other employees, managers and executives, board members, vendors, consultants, contractors, and the public; Effectively use computer systems, applications, and modern business equipment to perform a variety of work tasks.

Qualified candidates will possess:
Associate degree from an accredited college with major work in public or business administration or closely related field and six (6) years of administrative or executive level secretarial experience, including one (1) year in a lead or supervisory capacity. Experience in a public agency is preferred.
Eight (8) years of administrative or executive level secretarial experience including one (1) year in a lead or supervisory capacity. Experience in a public agency is preferred.
Valid California Class C Driver’s License and current automobile insurance;
Possession of, or ability to obtain, a Notary Public certification (or receipt within six months of employment).
